Description
This department assistant position provides support and assistance to the Director of Education/Community Cares Champion with the functions of the Education Department as well as the Community Cares Program initiatives and activities. Assists the Staff Development Coordinator in the coordination of Employee Development Programs, and Community Education Programs, and provides support as needed. Manages and maintains all Continuing Education files in accordance with Florida requirements. Monitors contact hours provided. Responds to telephonic and/or in-person inquiries from hospital employees and staff, and external customers within the community regarding hospital sponsored/facilitated educational programs. Completes and maintains educational database updates, coordinates CPR class schedules and registration for hospital employees, staff and the community.
Coordinates and maintains the Health Resource Center calendar, and coordinates activities associated with Community Cares initiatives, committees and special projects, the Critical Information Network (HSTN), Employee Development, Community Education initiatives, Trinity Workforce Learning, and CPR Program class schedules. Provides routine assistance and responds to educational inquiries from the community, hospital employees and contracted staff, Department Directors, and Sr. Management.
Assists Staff Development Coordinator with preparation of materials for new hire orientation/nursing orientation, and other educational programs. Creates and or copies materials for pamphlets, booklets, brochures, and/or flyers related to educational and/or Community Cares activities or other special projects. Creates and maintains EXCEL spreadsheets to track various CPR certifications, and other required certifications and/or competencies for hospital employees and contracted staff in accordance with NOMC policy and Joint Commission requirements.
This position has primary responsibility for creating, assembling, and maintaining employee and staff Education files and associated documentation as directed by the Director of Education, and as required by NOMC policies, government regulations, and Joint Commission requirements, to include the timely filing of related documents.
Maintains various department manual and electronic files in accordance with department procedures and Joint Commission recordkeeping requirements. Sets up and maintains general control methods, records and files for on-site and off-site storage, as required for effective department functioning. Provides various administrative functions such as ordering departmental office supplies, maintaining appropriate supply levels for booklets, educational literature and all other associated materials, coordinating and scheduling meetings, tracking required documentation using EXCEL spreadsheets, preparation of check requests, expense reports, and preparation of various charts, tables, or reports as requested by the Education. Completes special projects and learns new job responsibilities as requested by the Education Director.

Qualifications
Education:
High School graduate or equivalent required.
AA or AS Degree preferred.
Experience:
Minimum three years experience in an administrative support position is required. Previous hospital administrative work experience, or experience within a fast-paced professional healthcare environment is preferred. Computer Skills: Demonstrated proficiency in Microsoft applications, including, Word, Excel, PowerPoint, and Publisher are required. Experience with Microsoft Access is preferred.
Excellent communication skills, both oral and written are required. Knowledge of the medical community and medical terminology is preferred. Above average customer service, and diplomacy skills are required. Demonstrated ability to multi-task and maintain productivity during extended periods with high work volumes and multiple deadlines is required. Must work well under pressure, and effectively manage time while completing the responsibilities associated with this position.
