Description

This position requires attention to detail in implementation of complicated document management procedures as it applies to vendor/supplier submittals, and project documents to achieve project goals. The objective is to maintain legal and historical records, as well as collaborate with clients and field personnel electronically using a document management system in support of engineering schedules and goals. Position requires frequent interaction with clients, engineers and suppliers.

Large design/construction projects generate vast amount of electronic and hardcopy documents. Document Controls Specialist (DCS) will guide project team members to store project records in accordance with the document controls procedures that were established for the project.
- DCS will be the keeper of the project folder structure for consistency and will have the ability to create new folders for project team members or steer them to the existing folders.
- DCS will be responsible for the filing of hardcopy records and retrieving those records as needed.
- DCS will have full access to the project e-mail inbox that receives a copy of important e-mails. DCS will file those e-mails in accordance with project document controls procedures.
- DCS will assist other project team members in generating documents such as transmittals, submittal response forms, request for information forms, etc. in Primavera Contract Manager (aka Expedition).
- DCS will be expected to perform administrative duties as needed. These duties include, but are not limited to keeping meeting minutes, performing data entry, answering and directing phone calls, making travel arrangements, preparing outgoing mails and labels, and making copies of printed material.

Qualifications
Minimum two year of college coursework. Associates degree preferred. Minimum three years of administrative or document management experience, with a minimum of 3 years related computer experience. Position requires attention to detail; above average computer skills. Experience in document management, using document management system programs, web collaboration software, file transfer programs, and/or database software is preferred. Excellent computer and communication skills; strong analytical and problem solving skills required. A good candidate will possess the ability to learn complicated procedures and new software, have a willingness to take on new challenges and remain flexible in their approach to problem solving, and new assignments.
